New Centrally-Supported Document Management Solution for UF

Admin Staff Member Using OnBase

After interviewing staff and gathering requirements from more than 20 UF business units, OnBase was selected as the new, centrally-supported enterprise document management solution (EDM). Utilizing EDM can help reduce operating costs, expedite business processes, and minimize risks associated with audits and other information requests.

OnBase provides a secure, central location for important business content like receipts, purchase orders, and memos. The easy-to-use system manages all information related to a project in one location, no matter the file type. All documents stored in OnBase are under departmental control, providing full access to materials while maintaining compliance with all legal retention requirements. Using OnBase, staff can save time searching multiple drives and file locations for documents, or on waiting for files to be pulled and delivered from another unit.

UFIT purchased a subscription to the OnBase Training Library, available to all UF employees. The library contains video classes on a variety of topics related to using the service. For more information, visit UF’s OnBase service website: http://www.it.ufl.edu/edm/.

Enterprise Document Management is also one of the presentation topics at the Fall Peer2Peer event, scheduled for November 20, from 8:30am-12:00pm, at the Levin College of Law.
